Ensure OST file sync correctly with Exchange server ,following these steps

  • Right -click folder which you want to check and select
  • Properties Navigate Synchronization tab If sync tab not visible ,it means Outlook profile not configure with offline folders
  • Select “Statistics ” option for folder and verifying following attributes

    Server folder contains: [Number of items in Server]

    Offline folder contains: [Number of items in OST file]

    Last synchronized on: [Date and time ]

If No issue with OST synchronization ,items count in both server folder and offline folder same. If item values different ,it indicate a synchronization conflict between server and offline folder .then you follow these step verify Outlook profile settings

  • Navigate “File ” menu and select “Account setting ” then click “Account form ” again from dropdown list.

  • Navigate “Email tab ” select “Mailbox – [account name],” and click “Change.”
  • Ensure “Use Cached Exchange Mode ” option is selected ,then click “OK”
  • In “Account Settings” window, click “Close” to exit

Manual Synchronization Method

This method synchronize offline folder in Outlook version 2010,2013,2016and 2019

  • Navigate “Folder List” pane and select folder for synchronize
  • Navigate “Tools” menu select “Send/Receive ” then choose “Microsoft Exchange Server.” .select specific folder for synchronize
  • In Tools menu select “Send/Receive All” to synchronize all folder

Automatic Synchronization Method

  • Navigate “Tools” and select “Options”
  • In Mail Setup tab, Check box Send immediately when connected.”
  • In Send/Receive section, select “Send/Receive Groups.
  • Check option “Perform an automatic send/receive when exiting.”
